1. Acceptance of Terms
Welcome to Receipts Keeper ("Company", "we", "us", or "our"). These Terms & Conditions ("Terms") govern your access to and use of the Receipts Keeper web application, mobile interfaces, APIs, and related receipt processing services (collectively, the "Service").
By creating an account, uploading receipts, connecting accounting software (such as Xero), or accessing the Service, you confirm that you have read, understood, and agreed to be bound by these Terms. If you do not agree to these Terms, you must immediately discontinue use of the Service.
2. Description of Service
Receipts Keeper provides AI-assisted receipt digitisation, optical character recognition (OCR), transaction data extraction, expense categorisation, tax calculation (VAT tracking), and accounting software synchronisation tools.
3. Account Tiers & Free Account Research Clause
Receipts Keeper offers free tier accounts ("Free Accounts") as well as paid subscription plans ("Paid Accounts").
3.1 Free Account Research Licence: In consideration for providing access to the Service without monetary payment, users holding a Free Account explicitly grant Receipts Keeper a perpetual, worldwide, non-exclusive, royalty-free licence to access, process, extract, aggregate, and utilise receipt content, line-item metadata, supplier categorisations, and transaction patterns submitted under Free Accounts for analytical research, machine learning training, computer vision benchmarking, and product enhancement purposes.
3.2 Paid Account Exclusion: Data submitted by users on active Paid Accounts (e.g. Standard, Pro, Business, Enterprise) is strictly confidential. Paid Account data is exclusively processed to deliver the Service to the account holder and is never included in research or model training datasets.
4. Data Normalisation & Anonymisation
To protect user privacy and ensure high-quality data hygiene, all Free Account data designated for research undergoes a mandatory Data Normalisation Pipeline prior to any research or statistical analysis.
Under our Data Normalisation procedures:
- PII Scrubbing: All Personally Identifiable Information (PII)—including account holder names, personal email addresses, individual phone numbers, home or business street addresses, credit card numbers, and banking details—is permanently removed.
- Standardisation & Categorisation: Raw item descriptions, currencies, tax amounts, and merchant names are converted into standardised, anonymised taxonomies (e.g. mapping "Sainsbury's Supermarket Ltd" to a normalised category code `GROCERY_RETAIL`).
- Aggregation & Disassociation: Normalised research records are disassociated from individual account IDs and aggregated into generalised research pools so individual receipts cannot be traced back to a specific user or organisation.
5. User Account Security
You are responsible for maintaining the confidentiality of your login credentials, API keys, and account access tokens. You must notify Receipts Keeper immediately of any unauthorised access to your account. Receipts Keeper shall not be liable for any loss or damage arising from your failure to safeguard your account credentials.
6. Acceptable Use & Conduct
You agree not to misuse the Service. Specifically, you agree not to:
- Upload fraudulent, illegal, obscene, or malicious documents or images.
- Attempt to probe, scan, or test the vulnerability of the Receipts Keeper infrastructure or bypass security mechanisms.
- Decompile, reverse engineer, or attempt to extract source code or core algorithms from the Service.
- Use automated scripts or scrapers to overload the API or extract data from other users.
7. Intellectual Property Rights
The Service, including software code, design assets, algorithms, branding, logos, and documentation, is the exclusive intellectual property of Receipts Keeper and its licensors. Subject to these Terms, you retain ownership of the original receipt documents you upload to the Service.
8. Subscriptions, Upgrades & Cancellations
Paid subscriptions are billed on a recurring billing cycle (monthly or annually) via secure payment providers (Stripe). You may upgrade, downgrade, or cancel your subscription at any time via your account settings. Upgrading from a Free Account to a Paid Account instantly excludes all future receipt uploads from research normalisation pools.
9. Disclaimer of Warranties & Limitation of Liability
The Service is provided on an "AS IS" and "AS AVAILABLE" basis. While we strive for high accuracy in automated OCR and categorisation, Receipts Keeper does not guarantee 100% error-free parsing. You are advised to review extracted receipt data prior to submitting financial statements or tax filings.
To the maximum extent permitted by law, Receipts Keeper shall not be liable for any indirect, incidental, consequential, or punitive damages, or loss of profits or revenue arising out of your use of the Service.
10. Governing Law & Contact
These Terms are governed by and construed in accordance with the laws of England and Wales, UK. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
